Special Meeting Approved Minutes

1) Introductions/Welcome to guests
2)Public Comment
Sheila Khalov encouraged the LAB to consider a plan that makes it easier rather than
harder to use the Library once the move is complete. She encouraged the LAB to
recommend closing the Library for the 1 to 2 weeks it will take to complete repairs and
the move.
3) Review of minutes from December 3, 2013 meeting
Minutes approved as amended.
4) Communications from public
Letter from Todd Wexman and accompanying Utne Reader article. Pam will scan and
distribute to Board.
5) Business
Moving back to Carnegie Site
Members began their review of programmatic and space considerations for moving back
as delineated in Exhibit A to Resolution 13-032

Considerations of programming and space must be looked at together
Staff needs to find a few hours to address most pressing questions
City is consulting with an architect (3 meetings)
Interior planning designer could be helpful
Possibility of moving some functions off-site
Best to have things as close as possible; Mountain View pretty far away
2nd floor of Pink House not easy to access (ADA), so no programming there
Can architect get started now?
Time sensitivity, may be harder for children than adults to wait for books they want
Circulation desk will definitely be getting smaller
6 days/week courier service
Can't afford to have lots of separate offices
Grants: Ken Clow will check in on grants
Storage: Classroom at Mountain View could be rented for storage. It will cost less to rent
from City than comparable storage.
Community programming: Bev will get list of events that have happened. Bev hopes
LAB will eventually work with the City on who can use the Library space since there is
an issue with the Library being free and other City venues having a rental fee. Staff finds
it difficult to turn people away.
Meeting with staff:
Bev and LAB members agreed to meet for a few hours either on Friday January 3rd
or January 10th at 8:OOAM at the Carnegie Library. Staff will meet ahead of time
to come up with some recommendations on use of space. Bev will let Jennifer know
which date works.
6) Additional public comment
Julie Jaman asked if she could make a public comment since her schedule does not allow
her to be present at the beginning of the meeting
She reminded us to include DVD and CD collections in our considerations. She noted
that there are lots of computers at the schools, and maybe there could be some
collaboration between Library and the schools on how to make use of these when the
school is closed. Also, take into account frequency of programming—what is the timing
of a particular program, weekly, monthly, etc.
