Meeting of the Port Townsend Public Library Advisory Board Held at Port Townsend City Hall on March 11, 2004 Board Members Present: Co- chairs Eileen Price and Kate Schumann, Deborah Carroll, Bill Maxwell, and Larry Thomas Staff Present: Theresa Percy, Library Director Guests: Julia Owens and Freida Fenn, City Council Liasion The meeting was called to order at 9:05 AM. There was no public comment. It was MSC to approve the minutes of the Library Advisory Board meetings held January 29, 2004 and February 12, 2004. Communications Jim Todd communicated verbally with a board member regarding the need for clearer signage upstairs regarding turning off cell phones. Another patron communicated to a board member that he was having trouble getting through to the library by telephone. Also discussed was that the old phone message is still on the answering machine and needs to be updated. A patron complained to a board member that the library website is difficult to navigate. Carrie Muellner is willing to meet with the library staff to discuss how to make the website more accessible to users. Theresa pointed out that updating the website will be handled as a part of the whole marketing plan, when implemented. Directors Report: There are no monthly statistics to report today due to a delay at the County Library. Theresa is meeting with the Washington State Historical Society and Museum regarding a speakers program on the topic of Lewis and Clark. On March 26, 2004, there will be a knitting event called Midnight Madness held at the library. Knitters are invited to come and knit for the evening at the library. The Twisted Ewe yarn shop is donating a book a month to update the library knitting book collection. • A book and movie discussion is planned in cooperation with the PT Film Festival, to take place around Halloween. Theresa is working with the Wooden Boat Foundation and the Maritime Center to coordinate having a library presence at the Maritime Center and at the Wooden Boat Festival. National Library Week is April 19 -23`d, 2004. A series of program demonstrations of library technology will take place. There will also be Cricket magazines available for kids. In May, a baseball library program is planned, with a baseball author to speak. All library program planning now includes a representative from the Friends so that programs and funding can be coordinated with them. A new monthly PTTV show series, "Between the Covers ", features the library and begins this month. Programming will be coordinated with the Friends. Blank footprints of the library space are available at the library for staff, Friends, and the Board to pick up and use to chart ideas for use of the existing library space. All ideas will be thrown into the mix for consideration. A meeting of the staff, Friends, and Board will be held in April to discuss space usage. The staff retreat, facilitated by Mary Ann Seward, was very positive. Theresa discussed the steps she has taken toward preparing the library long -range plan. She has talked with two facilitators, Christine Pivarnik and Mary Ann Seward, regarding the services they offer in preparing a long -range plan and a marketing plan. The LRP is the roadmap for fundraising for the new building/physical plant. Theresa estimates that it will cost about $4000.00 for the marketing and long -range plans. The goal is to have them both done by October 2004. The issue of fines for overdue videos was discussed. Theresa suggests that we conform to the fine system used by the County library. The Board agreed to the charging of fines for overdue videos. Theresa said she will be working with Max Grover as to where to place the PT Salmon in the Library (the City is turning it over to the Library). The possible use of surplus city property for library purposes was discussed with Councilor Freida Fenn. 11 • Friends of the Library Kate attended the Friends Board meeting and announced that FOL raised the most money so far in their March 6th Book Sale, $2578 from books and an additional $89 from membership dues. Library Foundation No report is available until after the March general meeting. New Business Kate briefly discussed the possibility of partnering with JCASA (the Jefferson County Animal Services Auxiliary) on the R.E. A. D. program. She will share more information about the program at the next meeting. She suggested taking a look at the website http: / /www.tbergpyanimals.org and click on R.E.A.D. It's a very impressive organization and has worked out all the kinks on organizing such a project. There was agreement that we should continue pursuing info on the project. Kate, who is in charge of April 3rd's PT Shorts 7:30 PM at the Pope Marine Bldg, announced that the program will be featuring the Public Library, honoring Linnea and . Theresa. All stories concern the Library. Theresa briefly discussed the use of library space and the need to clear out some of the old magazines upstairs to make room for new materials. The next Library Board meeting will be Thursday, April 15, 2004 at 9:00 AM, at City Hall. The meeting was adjourned at 10:40 AM. •
