Pink House Members present: Fran Post, Ken Dane, Mirandy Cook Members absent: Eileen Price, Ben Dow, Caitlin Harrison Staff present: Jean -Marie Tarascio Public present: Deb Stinson Scribe: Mirandy Cook Public Comment: None Staff Report (Jean -Marie Tarascio): Max Grover illustrated invitations were sent out this past Friday to donors and prospective donors to announce the Pink House celebration. The event will be held August 27th from 1 -4 P.M. and will include a special building - themed story hour, building manipulatives for the children to play with, music, a community -made banner project that will be used to decorate the construction zone, popcorn, concrete poetry by the teens (in the shape of a house), face painting, balloons, the passing of the check, guest speakers and information tables. There will also be a formal announcement of the new name for the Pink House (possibly the Library Meeting. House, but still historically cited). The renaming will further connect the historic house to the public as a program space for the library. • It was suggested by a member that during the event all Library Board members should wear an identification tag. In addition to this Friday's invitation mailing, an e-mail blast will be sent out to all card holders right before August 27. There will also be an e- newsletter alert as well. Friends Report: Library Director: Theresa reported that the Pink House Celebration and Kick -Off will be 1 to 4pm on August 27th. There will be popcorn, activities for kids (story hour, face painting, making flags), and a "formal" program with dignitaries at 3pm followed by Joey Pippia's magic show. Radio interviews and an editorial in the Leader are planned to publicize the celebration. All donors will be invited. There will be an invitation mailing party this Friday afternoon (8/12) at the Pink House at 10am. Renee mentioned that there will be Capital Campaign materials and items for sale at tables on the front porch. Foundation Report: Reported by: Mirandy Cook Introduction of New Members: It was announced that two new members will be joining the PTPL Foundation Board: Mary Sepler and Kelly Conrads (not present at meeting). Mary Sepler, the reading specialist at Grant Street Elementary, will be a vital connection between the Public School System and the P.T. • Public Library, Kelly Conrads has worked extensively for Centrum and will bring her valuable talents as a graphic artist. Remarks by David Timmons: . David Timmons opened with the question "Where do we go ?" He then continued with an assessment of the city's current circumstances. The recent and current economic bad news does not bode well for the near future. We are, however, better off than most places in the country. Much of the data is skewed in unexpected ways. We show strong economic strength in certain sectors such as sales with real estate an expected exception. All of this is creating a negative psychological effect on people. Major donors have been getting together to redefine the non - profit sector of Port Townsend for the future. We need to look at an alternative strategy for the Library Expansion Project considering the times that we are living in. We should wait out the storm and extend things. We should redefine the project in installments and "pay as we go." Proposed Installment Plan., Phase 1) Pink House (funded) Phase 2) FEMA Renovations of Carnegie Building envelope restoration Limited library interior renovation Phase 3) Limited south side renovation Phase 4) Construction of new addition Completion of renovation Restoration of Carnegie building as funding is secured Many options are being considered on how to use the existing library space while each phase of is construction is completed. For instance a book modular in both the front and back parking lots might house books relocated due to construction. The children's collection may be the easiest to move into the modulars. Of course this will also demonstrate the obvious necessity for more shelf space. It will cost slightly more to modify the library in phases than the original plan to build everything at once, but due to the challenging economic circumstance we are in, it is simply unattainable otherwise. A final plan is still in development. The scope is is not changing, just the path to get there. The "pay as you go" approach may perhaps be more appealing to the public. The Foundation Board members each expressed their opinions about Mr. Timmons' plan. The general opinion was that, although slightly disappointed in the pace of progress, considering the situation, the board remained optimistic that its goals were still attainable with necessary adjustments to the new plan. Additional Board Member Business: Paula Clark informed the Board that she currently has ten Carnegie parties scheduled with about five more potential parties. Steering Committee Report - April /May: 1. Due to the current economy the campaign will likely extend another year to 2014 2. Building will be in 3 parts: 1) Pink House; 2) FEMA work on Carnegie Bldg. 3) New wing 3. Special label wine available from /at Sorensons: Library ReAaD 4. Library Foundation is asking for help in calling potential donors • Old /New Business: Absent members need to sign up for their attendance spot at the foundation meetings. Attendance for Foundation meetings: October: Ken Dane November: Fran Post December: Mirandy Cook Ken suggested that PTPL Advisory Board members aid Theresa with strategic planning for the library. Ken will provide a draft at the next meeting. Board members discussed options of where PTPL Advisory meetings should be held during the Pink House construction. Meeting adjourned at 4:47 P.M.
