HomeMy WebLinkAboutdeleteMEMO department of public works May 14, 2009 TO: David Timmons FROM: Catherine McNabb 379-5089 SUBJECT: New Copier Contract All rental or lease agreements for the copiers at City Hall, Police Department and the Public Works Shops expired as of April 2009. The strategy is to replace all the copiers with a lease agreement with Canon procured through a KCDA contract and a maintenance agreement through a local service provider (POE in Port Angeles). We have chosen a color copier for the Police Department which they will use as a copier and their primary printer. This will allow us to surplus the individual printers. There will also be a color copier in the Administration offices that will be networked and used as the color copier for City Hall and function as a printer. This should reduce the number of color printers and thus save money by reducing the amount of toner purchased. DSD will have the large black and white production copier, Finance will keep the same size copier and Public Works will get a slightly smaller unit. All copiers with the exception of the DSD copier will have the ability to scan in color. This will allow us to scan colored maps, photographs and charts and email them or post them on our website. I believe by replacing our copiers with multifunctional devices that can copy, scan and print we can reduce the amount of individual printers that need toner and costly maintenance agreements and clutter the network; documents can be scanned and emailed rather than copied and mailed. The goal is to reduce the amount of paper with our choice of copier and save money by reducing the volume of printers presently used by City staff.
