It was felt these two firms had the most experience in library planning and historic preservation and renovation. Their references were generally very favorable with some concerns voiced over cost control. Second choice was the Buffalo Design Group. The committee was very impressed with their presentation, felt they were strong, young, and creative, with excellent references. They do not, however, have as much experience as Tonkin /Lewis. Gwen Howard moved and Lars Watson seconded that Tonkin /Lewis be hired providing we can negotiate an acceptable contract with them. Motion passed unanimously. Lars Watson moved and Gwen Howard seconded that if we are not able to negotiate a successful contract with Tonkin Lewis, we recontact the Buffalo Design Group to discuss contracting with them for the project. Motion passed unanimously. CONTRACT NEGOTIATION: There was some concern about the roles outlined in Tonkin /Lewis's proposal. Considering the duel problems of historic preservation and library space planning represented in our project, the Board's primary concern is in the area of efficient, effective library planning. That being the case, it is important that the roles of the architect team reflect this. PROJECT SUPERVISOR: The board decided it was important to have the project supervisor hired to sit in on contract negotiations. Bev thinks we will have to advertise. She and Gwen will investigate this and begin process. In the mean time, we will get a sample contract from Tonkin /Lewis to review and the Building Committee will meet to discuss contract points. BUILDING COMMITTEE: The Building Committee is composed of Gwen Howard, Pete Kaiser, Barbara Kaiser, Beverly Lamb, and Mike Mortenson. Gwen is working to get a city representative to join, either from the Council or staff. Mee4yLam rned, 8:25 a.m. B v
