Special Meeting
Port Townsend Library Board
June 10, 1989
Present: Board members Lars Watson, Mike Mortenson, Sue Sidle,
Gwen Howard ; Beverly Lamb, Les Tonkin, Myron Lewis
Guests: Margaret Lee, John Bauer, Jody Hatchett
The meeting was called to discuss the low bid received from
Hoffcon and the alternate prices and priorities.
Lars read a letter from board member Anne Steurer indicating
she favored selection of alternates which (in priority order)
1. Can't be done later 2, highly visible 3. might effect construction
schedule, e.g. volunteer painting. She also recommended we
accept low bidder once we have necessary assurance of the firm's
competence.
Les and Myron discussed the alternate prices and indicated that
in many cases they were "good deals" which should be included
with contract if at all possible. The board discussed needing
to ask the city council for more money if any or all of the alternates
are to be selected. Prices for the individual alternates are
lower than they would be in the future and some of the alternates
must be done during construction (i.e. raised ceiling, stair rail,
etc.) or not at all.
• The board then prioritized the alternates, grouping them into
4 packages. ( see attached. )
There was some discussion about finding alternate funding for
the circulation desk instead of including it in the contract.
Mike moved and Gwen seconded that funding for the circulation desk not
be discussed at this time. Motion passed.
It was decided that the board would meet with the Finance Committee
to discuss the alternates, priorities, and need for funds.
Meeting adjourned.
